TEACHING MATERIAL

1.    MEMOS
Memo, in Oxford Compact English Dictionary, is an abbreviated form of memorandum which means a written message in business or diplomacy or a note to record something. A memo is written for a certain purpose. Here are common purposes of memos:
  • To give information or an update on a certain topic
  • To communicate a change (e.g. policies or procedural)
  • To introduce a new initiative
  • To confirm the result of conversation or agreement
  • To request information or action
Some people think that memos and business letter are similar. But, they have several differences to differentiate each other. Here are the differences between memos and business letter:
  • Memos are for internal communication and rarely more than one page.
  • Memos are often ½ page or less of text
  • Memos may have a wide audience and may be posted rather than sent directly to individual workers
  • Memos may have a less formal tone than a business letter.   
Some common phrases in a memo:
  • Please be advice  ….
  • This is to inform …..
  • Please note that ….
  • Should you have any questions ….
  • If you have any questions, ….
  • For further information, ….

The following grammatical forms show what action that a memo requires:
  •  You must ….
  • (employees) are asked ….
  •   .   .    . at your earliest convenience
  •   .   .    . will come into effect

2.       SCHEDULE
Schedule, as a basic time-management tool, consists of a list of time at which possible tasks, events, or actions that are intended to take a place or sequence of events in the chronological order. Schedule are necessary, or at least useful, in situation where individuals need to know what time they must be at a specific service, and where people need to accomplish a set of goal within a set time period. The following are the elements of a schedule:
  • A grid
  • Times, both short period, such as a daily or weekly schedule, and long term planning with respect to periods of several months or year
  • Task or necessary information in short phrases

3.  SIGN
A sign is a notice, bearing a name, direction, warning, or advertise that is displayed or posted for public view. Some bear pictures only, some bear pictures and words. Most of them are understood because they are conventionally agreed upon.
The wording in sign is unique. It communicate message clearly, quickly, and concisely using as few words as possible. Here are the examples of wording signs:
